SAP Business One vs. Microsoft Dynamics GP: – highlights for consultant…

Wednesday, December 16th, 2009

In this small article we will not make side-by-side technical specs comparison. We would rather like to give you opinions from both sides – Microsoft and SAP. Both products target mid-size businesses in the USA, Europe (however Microsoft Great Plains – Dynamics GP will be leaving continental Europe market starting with version 10.0 – somewhere in the year of 2008, where Microsoft Business Solutions will probably stake on Microsoft Dynamics NAV – again this is contingent to the progress with Project Green or now Microsoft Dynamics project). Let’s come to the topic:• Microsoft Dynamics GP strong points. Microsoft, being leader in Operating Systems, Office Products, and also having such platforms as Microsoft Exchange, Microsoft SQL Server – can now capitalize on ERP technology infrastructure, which includes ERP integration: SQL heterogeneous queries, Sharepoint workflows, web portals. At the same time, long time presence on the market for such products as Microsoft Outlook gives Microsoft the option to count on Outlook user experience – Microsoft Dynamics products will not require user training (from the interface intuitiveness standpoint) – Microsoft Dynamics CRM has Outlook Client, Microsoft Dynamics GP will have tighter integration with Outlook in its version 9.0. Making some comments on another Microsoft product – Microsoft Small Business Accounting – it is integrated with MS Outlook, where you can create invoices and promote outlook contacts to your MS SBA customers.• SAP Business One. This product was purchased by SAP from Israel software development company four years ago. The driven reason was probably the need to go down to mid-size and even small clientele, plus SAP needed such product to be easily adaptable to Multilanguage and complex international taxation rules. SAP Business One has CRM, ERP/Production modules and technically can serve as ERP/MRP/CRM for manufacturing or servicing subsidiary of large corporation. SAP Business One has modern architecture and design and this is what could be a strong point in decision making to select ERP platform. SAP Business One has integration to Microsoft Office – it could use email messaging through MS Outlook client / SMTP and in integrate with MS Office on the level of COM objects• Microsoft Dynamics arguments. At the time when Microsoft Dynamics / Project Green are working to enable Microsoft ERP products to work with Microsoft Office technologies SAP is several years behind in this direction. SAP is currently contracting Microsoft to enable SAP mySAP integration with Microsoft Office. Microsoft has this strong argument against SAP Business One – SAP deploys industry Experts who are very strong in general ERP/MRP plus probably Business and Industry Vertical Consulting to implement ERP from midsize business, where technology consulting and expertise come first. The result is longer implementation cycle plus complexity with SAP Business One integration with technology innovative and legacy products• SAP Business One Arguments. Microsoft is trying to trap you to its technical solutions and proprietary technologies. It is enough if we give you excellent ERP platform which has good integration tools to Microsoft Office plus enables some integration with Windows platform itself – you can use VB.Net or C#.Net (our commentary – you can have your SAP Business One to communicate with outside world with such non-Microsoft platforms as IBM Lotus Notes Domino and use Lotus Notes as Document workflow)• Additional Microsoft Arguments. There are analytics out there on the ERP strategic research market who support Microsoft in the opinion that SAP Business One will need technology advances (such as developing its own Office platform or tighter cooperation with Microsoft Office products) to stay current with the ERP market I the year of 2010…• Additional Considerations. Of course SAP has additional bells and whistles, such as language switch – you can switch from German, French or Brazilian Portuguese to US English by pressing Cnrtl key combination. Microsoft Dexterity was designed in earlier 1990th and doesn’t support such a nice functionality and Unicode – the question frequently asked by the prospect from China, India and Arabic World.

Determining a Web Hosting Needs

Monday, November 30th, 2009

Once you’ve decided that an identity on the Web is what you or your business needs, you have to ensure that you go about the technical aspects of setting up a website and buying web hosting properly. The most important part of determining the kind of web hosting you need is understanding your requirements: getting a web hosting package that does not provide features that your site will need can be disastrous when it comes to the development stage. Similarly, buying an expense web hosting package that has features you don’t need can end up costing you a lot more money than necessary. What kind of web site are you building? The answer to this question is very important in helping you to figure out exactly what kind of web hosting package you’re going to need. Is your site going to be an e-commerce portal for your business? If so, you will need advanced functionality like databases and scripting support. If, however, your site will be “static”, for example a personal blog or collection of hobby information, you may not need these features. If you are planning on using your site to sell anything, whether you’re a business or an individual, the most important part of setting up your online presence is finding the right payment provider. This is a company that handles credit card transactions on your behalf (usually requiring a percentage web payment), and allows users to pay directly through your website. Whenever a website collects sensitive personal information (such as credit card numbers or shipping addresses), a secure connection (sometimes referred to as an SSL or encrypted connection) should be provided to minimise the chance of malicious individuals stealing the information. This is a feature that will need to be provided by your web hosting company. You should also consider the software that will drive your site. Dynamic sites (ones that display information using programs or scripts instead of basic, or “static”, files) are normally needed if you want to use databases to store information about your site. For example, you may want all the products you sell to be kept in a database that you can edit. The software on your website can then use this database to display the different products on offer, manage payment, invoicing, and automate a lot of tedious tasks. Features in a web hosting package to enable dynamic sites include PHP, Perl or ASP scripting and MySQL or Oracle databases. How much storage space would you need?Static websites that comprise of a small number of pages and images don’t require much storage space at all. For many simple websites, 50 megabytes of storage space is more than enough. However, if your website is going to incorporate very large quantities of information or media-rich content (such as images, videos or music), you will need more space than this. You should also remember that storage space does not always include the space allowed for databases. Sometimes, databases are given separate, individual storage limits – that is, just because your web hosting provider gives you 500 megabytes of storage, this doesn’t necessarily mean your database can be this large. How much data transfer allowance would you need?Data transfer allowance is the quantity of data that is allowed to be downloaded from your website. Web hosting providers normally impose data transfer limits because the more data that is transferred, the more they have to pay for their connections to the Internet. It is very easy to calculate how much data transfer your website is likely to use. Simply look at the average size of one page of information (text, images and any other content) and multiply it by the number of times people will (or do), on average, visit the site on a daily basis. You can then multiply this by 30 for a monthly data transfer estimate. For example, say the average page on your site, including images, is 10 kilobytes. You may estimate that around 20 people per day will find your site and visit it – this means that your daily data transfer would be around 200 kilobytes (10 x 20). For a month, this would come to roughly 6,000 kilobytes, or approximately 6 megabytes.A problem you have probably already noticed with this is estimating data transfer usage before actually having your site online. Although there’s no way to accurately do this, the type of website you have can give you a good idea of how much data transfer it will require. Message boards and blogging sites, for instance, often cause a lot of data transfer because users often return to read and reply to new messages. A corporate website designed to profile a company, however, would require less data transfer allowance, as users are much less likely to return often, and if they did, their browsers probably wouldn’t have to download much because the content would be cached on their computer.Web hosting companies offer a lot of different data transfer allowance options, but for a completely fresh site, you should look to not spend too much money on data transfer allowance at first – most, if not all, web hosting companies allow you to upgrade your data transfer allowance at any time, so a sudden surge in users (after an advertising campaign, for example) can be accommodated for easily. What access will you need?Getting files uploaded onto your website is, as you can imagine, a crucial part of running the website. FTP (File Transfer Protocol) is probably the most common way of uploading files to web hosts, and even an affordable web hosting plan would support this. Other technologies such as SSH or Telnet are less common, and you may have to pay more for a web hosting plan that includes them. You will also want to think about how your web hosting will handle e-mails. Practically all web hosting plans provide an SMTP/POP3 mail server that allows you to send and receive e-mail using addresses that end in your website name (for example, “www.freeearningtip.com”). They often also provide web-based e-mail access so that you can check the e-mail wherever you are.

Bulk Email Marketing: Using Software to Get Permission

Wednesday, November 25th, 2009

Before launching an email marketing campaign, it is important that you realize that email marketing is of two types. One type of email marketing consists of sending spam mails. Spam mails are unsolicited mails; emails that have been sent to people without their permission. The other type of email marketing consists of sending emails to people who have subscribed to your emails or newsletters. This means emails are being sent only to those specific people who have given their permission to receive your mails.Avoid sending spam mailIt is easy to see that the first type of email marketing should be avoided at all costs. Sending spam is the quickest way to ruin your reputation. That being the case, you can see why getting permission for carrying out bulk email marketing is so vitally important. Today, bulk email marketing is considered to be of the most successful and cost effective methods of marketing your company’s products and services. Different free permission based softwareFor this reason, a number of email marketing software has been created especially to help you send bulk mail in the right way – with the permission of those that are being sent your emails. Such software is available in many different types and a lot of them are absolutely free of cost. You can use such free software without spending any money at all. The free software versions may not contain the full gamut of features that are available in the paid for software versions. However, if your email campaign is small sized, the free versions would have sufficient features to satisfy your requirements. Variety of basic featuresBulk email software comes with a variety of basic features. Such software has tracking systems and is capable of managing your contact list. Permission based software lets you create newsletters with minimum stress. It also allows you to look after your subscribes and unsubscribes and even manages your bounces. Using such software also makes it possible to analyze important statistics such as your open rate as well as your click through rate. Helps decide on communication type and frequencyUsing bulk email marketing software also makes it possible for you to make a decision regarding the kind of email communication that you plan to send as well as the frequency of the communication. The software makes it possible for your emails to be sent out automatically at the date and time chosen by you. This is a very important feature as it results in your subscribers receiving the number of emails that they have given you permission to send, at consistent intervals.Effective templatesEmail software is also able to provide you with effective email templates. Most software has a full fledged range of template designs that you can choose from.  Such software provides a vast number of design templates at absolutely no cost and is also able to design custom templates at a very minimal cost. Now that you are aware of the importance of carrying out an email campaign the right way, make sure that you follow the rules and do not get accused of sending spam. What is a System of E-mail Encryption?

Wednesday, November 18th, 2009

Email encryption is a term that refers to the encryption as well as the authentication of email or electronic mail messages. Most commonly, email encryption is designed to rely on what is known as public key cryptography. There are a number of popular protocols that are used for the purpose of email encryption, the most notable of which are mail session encryption, identity based encryption, Open PGP encryption, TLS encryption and S/MIME encryption.
- Mail Session Encryption – This involves using a STARTTLS SMTP extension, which is a TLS layer that is on top of an SMTP connection. It is capable of protecting mail traffic from being sniffed while it is being transmitted, but this does not actually involve encrypting the actual email because the content inside the email messages is capable of being revealed to, and thusly tampered with, by the email relays that are involved. The encryption, then, actually occurs between the individual SMTP relays rather than between the individual sender and recipient. When both of the relays offer support for STARTTLS, then it is capable of being used regardless of whether or not another protocol is being used to encrypt the contents of the email.
- Identity Based Encryption is a form of public key cryptography that is designed and implemented to use unique information regarding the identity of the user such as their email address as the public key. The public key may also be a text value such as the domain name or name or its associated IP address for example.
- Open PGP – PGP stands for Pretty Good Privacy, and Open PGP is a computer program designed to provide cryptographic privacy as well as authentication. It is often utilized for the purpose of signing, decrypting or encrypting emails in order to increase the level of security for email communication.
- TLS – TLS stands for Transport Layer Security, and it is the successor to Secure Sockets Layer or SSL. These are cryptographic protocols designed to provide data integrity and security for network communications such as through the internet. There are a number of different versions of these protocols that see wide spread use including web browsing, internet faxing, electronic mail, VoIP and instant messaging.
- S/MIME – S/MIME is an acronym that stands for Secure Multipurpose Internet Mail Extensions, and this is a standard that is used for signing email and public key encryption of email that is encapsulated in MIME.
A Private Email Network , PEN is a secure pathway that employs highly effective encryption, without requiring complex programs, certificates or servers. Secure messages use existing e-mail address and can be created and read in any systems. Email2 is a business communication platform that enables security for your organization and creates a Private Email Network
Each of these email encryption protocols, mail session encryption, identity based encryption, Open PGP encryption, TLS encryption and S/MIME encryption are used for different purposes and some apply not only to email encryption but also to other types of encryption including internet browsing and instant messaging encryption depending on the method and mode of communication.

Email Campaign Software: Creating a Permission List

Saturday, November 7th, 2009

Email campaign software is a specialized tool used to conduct bulk email marketing or more specifically, an email marketing campaign. The distinction is crucial for this discussion on creating a permission list because of the active word here – permission. Most spammers are surprisingly also considered to be bulk email marketers. After all, they are also just selling products. However, the distinction lies in the fact that a spammer will not ask a prospective customer before mailing him or her to the point of filling up their inboxes. Spammers rely on mailing a mass bunch of people for the few who will actually take the bait. Spammers are not even this specific, what they are satisfied with is just the fact that someone actually opened the mail. The average figures for spammer success rates is something like 15 opens for a million mails that are sent out. One can therefore imagine how many mails it takes for a spammer to sustain.
The other group of bulk email marketers is a more genuine lot that actually get the permission of the people they want to mail and update on products and sales promotions. Once an entire list of people who have expressly stated their desire to receive updates has been created, you have a permission list. From here, it is just a matter of loading it into the email campaign software.
The really difficult part is actually acquiring the permission list itself and an even more arduous task is to maintain it. There are many ways of getting permissions. The first is using the humble registration form during sign-ups. This is a simple act of just adding an extra text field for the email address and the using a checkbox to confirm the decision. It is a good idea to also send a confirmatory mail after this procedure because the real objective is not to be caught by a spam filter. When you send a confirmatory mail, the user is then forced to unmark the mail as spam, making you a friendly sender.
The other ways of getting permission lists is to use the vehicle of surveys to ride proxy on and add the opt-in information as part of the survey results. Yet another method that is available to software vendors is to add the opt-in question as part of the installation wizard.
Once you load the permission list into the email campaign software server, the next task is to maintain it for future use. For this, you must form profiles of the clients so that they are slotted into the correct categories for the correct mails; otherwise, for example, you must just end up selling Viagra to post-menopausal women. After this comes the task of analyzing your tracking reports and understanding the most active members of your permission list. It is important to periodically weed out the members who have been inactive for too long as mailing these people is probably just a waste of internet bandwidth for you.

Email Campaign Software: How to Manage Your Email Lists

Friday, November 6th, 2009

Email campaign software is all about ensuring maximum utilization of the mailing list that is stored in the database part of the software architecture. Mailing lists are the bread and butter of any bulk email marketing venture and, to this effect, there is a lot of maintenance that must be done for it. This is not from the perspective of database maintenance as a software component but maintenance from a customer database perspective. Customers and mailing lists are extremely dynamic and the size of your mailing list can change on a nearly daily basis. There is another important factor to bear in mind and that is the security of your database as well. Spammers are always on the lookout for weak networks to exploit and steal addresses from.

The first step to managing your lists is to ensure that all of the people on your list have been legally added there. This means that you should have gotten an opt-in permission from each and every person on that list before mailing them. This may sound like an arduous task but it is a legal and logical requirement. A logical requirement because if your email campaign software sends out email to recipients that have not opted-in for the service, then those users will mark your emails as spam and this will start to accumulate spam complaints. Once these complaints reach a certain level, you will be blacklisted by an ISP and this can have disastrous consequences for your business. Don’t be surprised if your ISP even takes down your website for being connected to spamming practices.

Some addresses on a mailing list might not be active. This is because after signing up for receiving mails and updates, these users might have just lost interest in the product. If this is the case, you will notice that many of the customers on the mailing list are idle and non-convertible. Give these customers some time but at the end of the year, you should send a mail stating that the subscription to the email service is going to expire unless expressly renewed. By using this method you can weed out the prospects that were not active and non-convertible.

Security of your database is of prime importance on the internet in general but with a special twist when it comes to email addresses. Spammers are always on the look for weak security in the email campaign software of legitimate businesses and these people will try and hack your database or they will deploy worms that will transfer that database back to them. To avoid this, ensure that you have the best and most up to date software on hand to prevent malware attacks on your database server. It also pays to be offline most of the time until necessary.

Finally, you must continuously add addresses to your database to ensure that the opt-outs are matched by opt ins and that your business is never starved of people to mail to.

Email Campaign Software: How to Improve Your Sender Rep

Friday, November 6th, 2009

Email campaign software is the first step to establishing yourself as a legitimate email marketer. This is because the use of campaign software is against spam philosophy since most spammers cannot afford to have a dedicated server with an IP address that will give away their identity. However, just having one of these is not enough. There are many practices that you must keep in mind when you are in the business of bulk email marketing. The basic thing that you have to avoid is being termed a spammer and to that end must be all your efforts.

The first thing that you must do is to ensure that you have a clean mailing list. A clean mailing list basically means that all of your subscribers must have opted in for receiving updates and email from you. While this may not exactly be a legal requirement, it is a logical one since mailing people without their permission will cause spam complaints against you. This will result in you ending up on a blacklist. From here the word will spread of other ISPs and spam filters. Therefore, stop things before they get out of hand and clean out your database.

Blacklisting is an especially bad thing that can end up happening to you. Organizations like Spamhaus are the guardians of regular email users against the onslaught of spam and email fraud. When one ISP blacklists you and you don’t try to get yourself delisted and go to another ISP, you notch up one strike. Notch up three strikes and you make it to the Spamhaus Block List. This list is referred to by spam filters all over the world and if this happens, not even one email can end up getting out of the server.

This makes whitelisting a very important aspect in bulk email marketing. This is basically a list of bulk email marketers maintained by ISPs that allows those marketers to mail users en masse. Getting on this whitelist is therefore crucial to your marketing effort. This can be done by paying the ISP to be added on the email marketing whitelist or just sticking to proper rules of email marketing and not getting any spam complaints against you. Assuming that your email campaign software database has addresses using legal means, blacklisting is not something that you should really worry about.

Sending useful emails also improves your reputation. When people receive email, they prefer to like what they read and to that effect, you must ensure that the quality of content, topics, and copy are of the best quality. Do not make silly content errors that will just demean you as a sender of bulk emails.

Another important step is that you ask your recipients to add you to the safe senders list in their email clients. This can work in your favor because this will allow automatic download of any downloadable information that you code into your HTML emails for delivery.
