Why Use Permission-Based Email Marketing?

Sunday, November 15th, 2009

The goal of all marketing is to attract interest in, build desire for, and generate sales of your products or services. Email marketing is a perfect medium to pick up where other marketing leaves off. Email marketing is still one of the most cost effective ways to contact prospects and customers. It’s far cheaper than traditional bulk postage mail and in many cases can have a much larger impact on immediate sales and long-term relationship strength than traditional advertising.
When done correctly, email marketing can be an extremely powerful and effective marketing technique. It’s a medium that allows a buyer and seller to freely communicate with one another and build a relationship based on value and trust. When done incorrectly, however, email marketing can be destructive, erode brand equity, and turn your happy clients into litigious flamers. It is for this reason that one must make sure they send only permission-based email communications to their subscribers.
Before we proceed any further, let’s define exactly what permission-based email marketing is. It is important to note that there are two types of email marketing. One can either send unsolicited email promotions or send out emails only to persons who have requested to receive them. Unsolicited email is, of course, called spam. Sending spam will ruin any legitimate organization’s reputation and brand value faster than mold grows on bread that is left outside in the middle of summer. Rule number one of becoming an intelligent email marketer is to not send unsolicited email.
Permission-based email marketing, on the other hand, is used effectively everyday by hundreds of thousands of organizations to build the value of their brands, increase sales, and strengthen the relationships they have with their clients and subscribers. The key difference, of course, is that these senders are only sending messages to persons who have requested to receive them.
Let’s take a second to understand the key difference between spam and permission-based emails.
The Axiom of Value
For the last 100 years, companies have relied on traditional advertising in the form of catchy jingles, TV commercials, billboards, print ads in newspapers and magazines, direct mail, hot air balloons, and waving mascots. The technique is to interrupt a radio listener, TV viewer, or magazine reader with an attention grabbing ad that compels the consumer to buy the company’s product or at least have the product closer to the forefront of his or her mind next time the individual is making a buying decision.
In most instances, advertising is acceptable to the consumer. Most people don’t mind seeing ads while watching television, listening to the radio, or reading magazines—or at least they understand that these ads are necessary in order to receive the content they are seeing, reading, or hearing. While technologies like TiVo, DVR, and satellite radio are challenging advertisers to come up with new methods of advertising, other technologies such as Internet television require users to watch a 30-second advertisement prior to the start of a show. The point is, as long as value is provided, consumers will be willing to be exposed to a few advertisements.
This same axiom holds true online. As long as your web site provides content that people value, visitors will continue returning to the site even if there are a few banner ads or Google AdWords boxes within the page layout. While some web sites, such as WSJ.com, have successfully switched to a subscription-based model, many more web sites rely on banner, box, skyscraper, and contextual advertisements to earn the bulk of their income.
The same axiom, that as long as value is provided, consumers will be willing to be exposed to a few advertisements, also holds true with email. As long as one provides value—whether by providing content on a topic a recipient is interested in or a discount off a product related to one purchased previously—people will allow you to continue to contact them. Each and every email you send of course contains your logo, information on your products and services, and links to your web sites. These items are the advertising and should be surrounded on all sides by the items which make the communication actually add value to the lives of your readers.
Spam however, by its very nature, breaks the axiom. Unsolicited bulk email very rarely has any value. Spam is usually irrelevant, always impersonal, and rarely helpful. Everyone with an email inbox knows how aggravating it is to sort through forty new emails to only find two that are from persons you know. While spam may make money for persons in Eastern Europe promoting fake drugs, I feel strongly that sending spam will always have a net negative impact on any legitimate organization.
For this reason, we strongly recommend only sending permission-based email, also known as opt-in email. Permission-based email marketing can be an extremely effective way to increase visitor-to-sale conversion rates, build strong relationships with your customers, and turn your one-time buyers into lifetime product evangelizers who recommend your organization to everyone they know. Permission-based email marketing allows companies to develop and sustain relationships with their prospects and consumers by creating value. Permission marketing is about “turning strangers into friends and friends into customers” as Seth Godin likes to say.
The nature of permission marketing—building a relationship with a prospect or expanding the relationship with an existing customer over time—allows you to concentrate on the prospects and customers who are really interested in what you have to sell and are more than willing to become repeat customers.
The Five-Step Process of Permission Email Marketing
There is a simple five-step process in putting a successful permission-based email marketing campaign in place. This process is reviewed below.
1. Start using a permission-based email marketing software that allows you to easily create newsletters, automatically manage subscribes, unsubscribes, bounces, and view reporting statistics like opens and clickthroughs.
2. Decide on the type and frequency of email communication you will be sending. We recommend sending at least a monthly newsletter. You can certainly send multiple newsletters if you sell different types of products. You can also send promotional messages offering a discount or coupon for a product or service.
3. Add a sign-up form to your web site so you can start collecting subscribers and import any existing lists of subscribers that have already requested your communications. It is generally also safe to import the names of anyone who has done business with you in the past year, provided you will be sending content relevant to what they purchased.
4. Create a good email template by using a template provided within the email software, having your in-house team create one, or using the custom design services of the email software company.
5. Develop quality relevant content for your newsletter or message and send it out to your list. Continue sending your newsletters, announcements, or promotions with consistent frequency. As your list grows, you will notice increased traffic (and if applicable, increased sales) on the day of and the days following an email send.
By providing quality relevant content you will succeed in keeping your brand mindshare at the front of the mind of your customers and cement strong relationships with your subscribers.

How To Get The Most Out Of Your Email Marketing Software

Thursday, November 12th, 2009

So you’ve paid good money to purchase an email marketing software. What now, you ask? Your email marketing software campaigns are somethings you definitely want to be successful after spending the money on the software. The software is there to help you streamline your marketing campaigns and pull in new clients from the internet. However, in order for your email marketing software to work effectively, you need to make sure you maximize the effectiveness campaigns. Here are some tips you can consider that should help you with this.

First of all, before you get into your email marketing software campaign, make sure you have set goals for your business. You first need to know what you want to get out of it before trying to reach it. In addition, make sure those goals are measurable. Make sure you know what, specifically, you want to get out of the email marketing campaign. Once you know what you want to see, you should make sure you are implementing tactics that will let you reach those goals.

Your marketing software should let you know who is not responding to your emails. Pay close attention to that feedback. Make sure the emails are indeed getting through and then try tweaking the message to nudge a few of those non-responders. If you still get nothing from them, phase them out of your email marketing software so that you are only shooting to those who may pay for your product or service.

Make sure you don’t use words in your emails that would result in your email being flagged as SPAM. Word such as free and porn will get your emails sent to the recipients junk mail folders. Replace those words with words that mean the same or change the spelling so that they look the same to a human reader. For example you can change the word “free” to “f.r.e.e”.

Through your marketing software, you should make sure you that are confirming email addresses constantly. Make sure your subscribers email addresses are accurate so that you don’t lose subscribers. When the software allows it, automate everything you can so that the campaign takes care of itself. Your aim should be to set it up once and there after have it done automatically.

An email software campaign can be highly effective if handled correctly. Make sure you know what your goals are, how you are going to get there, and that you automate as much of the process as possible. Keep these things in line and you will find that your marketing software will do a great job for you.

Why email marketing software can be bad for your business

Wednesday, November 4th, 2009

Introducing an email marketing strategy into an organisation inevitably produces the question about whether to buy some software or use an Email Service Provider (ESP) instead. It’s a topic that has provoked some strong debate for other business applications, and in some situations organisations discover very good reasons for not going down the software as a service (SAAS) service road. But in the case of email marketing there are simply so many fundamental issues with purchasing an application for in-house use it becomes a very real pain the backside for staff across different functions.

Email marketing is not simply a case of creating a template and flinging it out to some email addresses. It’s also far more than buying some software and thinking everything is good to go. There are a lot of tasks involved in implementing email marketing, and if you adopt the in-house route then you will find yourself knee-deep in a whole lot more things to do.

It’s for this reason that you should never be attracted to the headline price. Many apparently ideal applications may look attractive but the total cost of ownership has to be considered, and in the case of email marketing software this is a very important point. Beyond the purchase of the application – which incidentally may well not contain half the features you actually need unless you upgrade to a more advanced version – you have to consider installation and configuration, not to mention ongoing technical support and user training. Depending on the infrastructure you may also require additional server hardware. These take time to organise and can be disruptive to other areas of the business.

On the subject of the infrastructure, a common mistake is assuming the organisation’s existing internet connection will have ample capacity for the increased burden of an email marketing campaign. It’s never a good idea to make assumptions, especially when most line providers specifically outlaw using their lines for email marketing in their terms and conditions. So it’s another area to review and possibly buy a dedicated line (many firms find their line is already working near capacity) or get the terms changed – and another cost to consider.

If you consider these to be barriers you can readily overcome, then remember you haven’t even started yet and there’s plenty more work involved. Maintaining an effective email marketing strategy entails devoting time and resources to deliverability; this is where the whole spectrum of your email marketing campaigns are working together to ensure the messages you send are reaching the subscriber. Now this is an important task irrespective of whether you go in-house or ESP, but for the former you will have additional tasks – mainly developing ISP relations, monitoring blacklists and handling abuse and other complaints. Another time soak on staff who have enough on their plate as it is.

Now compare the points made above with working with an ESP. Well, firstly the question surrounding resource and time largely vanishes. You have access to an infrastructure already created, tuned and ready to go. No worrying about whether your infrastructure can cope, no waiting for the technical function to install and configure the software. So getting started is a simple process – often it’s all done for you – in a matter of hours, not weeks.

An outsourced service also reduces the requirement to be proficient in html design and handling data. Strategic services like ArrowPoint Mail provide help with such areas as part of the service, as well as giving advice on good practice and staying on the right side of the law. So you’re not on your own and you can get moving quickly and confidently.

And lastly there is the flexibility. If the out-sourced solution doesn’t work as well as you hoped then you can walk away and find another. Bed hopping across email services is not recommended as it disrupts your strategy and wastes time researching and working with new people. But it does mean that the service provider has to provide the best service possible – or you can go elsewhere if you’re not satisfied.

There is a reasonable case for opting to site email marketing in-house if your organisation has the resources, the people and the knowledge in order to use the software correctly – although from our perspective it’s still quite weak. However, even in such a scenario you should hold accounts with outsourced services as part of your business continuity plan. But for most businesses the most cost effective, convenient and flexible way to use email marketing is via an outsourced service.

Email Marketing Software

Effectively using autoresponder software is the best way to make an email marketing campaign successful. Here is a brief guide that would help you understand the use of the software.

Autoresponder Software – Some FAQ’S

An autoresponder is an email program that is meant to automate the entire online communication process. If your autoresponder software is set up and your campaigns run smoothly, this eliminates your waste of time with the marketer and actually saves you money.

How Does Autoresponder Software Work?

Autoresponder is software that the online marketer pays usage fees for. The software can also be bought and put on the hosting account’s server. The software can work in the following two ways:

The first way is to use pre-written messages followed up to every new or existing customer. These messages are sent to the customer email list at a pre-determined time. So whenever the customer signs in to his email list, he would receive the email after specific time intervals.

The other way is to use an email broadcast. Here, the email is send at the same time to everyone on the emailing list. Based on the requirement, the broadcasts can be a pre-written one or a freshly developed one.

How Does The Use Of Autoresponder Software Help?

Automation of any kind is meant for the progress of the business. The same holds true with an AR. The software takes care of all the small redundant tasks leaving the online marketer with enough time to take care of more important activities like advertising, product development, and customer support activities.

AR software can also be used to promote the products and services to people who visit the website. Just use the sale informational message into the autoresponder software, and it would send it out to all who visit the website. Thereafter, whenever an interested visitor receives the message he could also convert the information into positive sales for the website.

What Other Purposes Can Be Served By An Autoresponder?

One great feature of the email marketer is that it allows you share your other products and services with your customers. The AR can also send up follow-up messages to the customers asking them whether they are satisfied with their purchase. All these activities not only help build strong customer relations, but also give further opportunities to promote more products in lesser time.

What Not To Do With Autoresponder Software?

Contacts who willingly subscribed to your email list are the only ones who need to be contacted using the email marketing software. Email solicitations result in a complete shut down of the automation process. It is important to only add those contact who are interested in the information.

How can you get potential and current clients to sign up for your email list?

The best way to get someone subscribe to the website is to offer them appealing returns. Free reports, e-books and other incentives for signing up often prove to be successful. Market only to those who allowed you to. Send emails to only those clients who subscribed to receive them. Also ensure that you have links on each and every page of the website. You can also make use of autoresponder software companies to help develop opt-in forms for easy subscription.
